3 DSV - Statutory Report on Data Ethics Policies - 2023 Supporting the work of the Group IT department, Group Compliance is furthermore responsible for monitoring compliance with the frameworks set and addressing data application concerns raised by the organisation. DATA USAGE used in running our business include as follows: • Customer data: Logistic information required to complete transportation of goods or other related services such as addresses, goods content and volumes, claims data, and other customer accounts data. Data is collected as part of the customer contracting and ordering process. • Supplier data: Logistic information on carrier orders to complete transportation of goods or other related services, claims data, contract data and supplier account data such as supplier addresses and bank accounts. Data is collected as part of the supplier contracting and order placement process. • HR data: Personal data on DSV employees such as employee credentials, gender, salary information, and union memberships. Data is collected as part of the normal onboarding procedures when hiring new employees or on employee change requests. • Other regulatory/contractual data: Financial data generated for internal measurement/controlling purposes and external regulatory reporting, contractual data from mergers and acquisitions, and contractual data from CAPEX investments. Data is generated and collected as part of the ongoing operational and strategic operations of the Group. When engaging suppliers of third-party data, DSV considers relevant data ethical aspects based on the nature of the data and their processing. When transferring data to third parties, DSV carefully considers relevant data ethical aspects, including confidentiality, integrity, availability, and governance associated with the applicable third party. USE OF NEW TECHNOLOGIES Core to our business model is an ongoing development of our operations and service offerings to our customers. An integral part of this is the use of new technologies, such as artificial intelligence, algorithms, and robotics. For example, DSV uses machine learning and artificial intelligence for processing of documentation and warehouse management. Going forward we expect to expand the use of these and other new technologies which also implies taking data ethics into consideration. We regularly review and update our data ethical framework to address evolving technologies, regulatory landscapes, stakeholder expectations, and assessment of risks and benefits. We have defined processes to ensure that decisions about the data use and introduction of new technologies are systematically addressed at appropriate management level on an informed basis. To facilitate this, we have established a Solutions Design Forum organized under the Chief Information Officer. The Forum among others reviews data ethical considerations of new IT-solutions before implementation based on a data risk assessment. This ensures that data processing is subject to relevant assessments of transparency, confidentiality and integrity, and that data processing is unbiased.
